While working on Sage X3, have you come across a case where you can prevent the user from a direct purchase order creation without creating a purchase request?
The answer is Yes.
In this blog, we’ll look at how we can use Sage standard functionality to prevent a Sage X3 user from creating a direct purchase order without first creating a purchase request.
Step-1:
Navigation -> Common data -> Products -> Products
In Sage X3, there is a check box called Mandatory PO request on the Product master under the Purchasing tab as shown in image 1. Once the user has activated this check box, the X3 system will stop direct purchase order creation for the selected Item master.

Step-2:
Navigate to -> Common data -> Products -> Product category
We can set the “Mandatory PO request” by default as active in the purchase category. However, if the Sage X3 user wants to create a new product by using the product category, the Sage X3 system will automatically make the “Mandatory PO request” set to activate automatically as seen in Image 2.

Step-3:
Navigation -> Purchase -> Orders -> Orders
If the Sage X3 user wants to create a direct purchase order creation, the Sage X3 system prevents the user and displays the error message. Please refer to the screenshot image 3 for a better understanding.
